These are per-user costs. Infrastructure (servers, firewalls) is typically additional.

What Affects the Price

What's included: More services = higher cost. A £30/user provider isn't including 24/7 SOC monitoring. Check what's actually in the package.

Response times: Faster SLAs cost more. 4-hour response is cheaper than 1-hour.

Security level: Basic antivirus vs EDR vs MDR. Huge difference in protection and cost.

Compliance requirements: If you need evidence, reporting, and audit support, that costs more than "we'll fix things when they break."

Support hours: 9-5 weekdays vs extended hours vs true 24/7.

On-site support: Remote-only is cheaper. Regular on-site visits cost more.

What Should Be Included (Minimum)

At any reasonable price point, expect:

  • Helpdesk support - Phone, email, portal
  • Device management - Patching, monitoring, configuration
  • User management - Onboarding, offboarding, account changes
  • Microsoft 365 management - If you use it
  • Basic security - Antivirus, MFA enabled, firewall management
  • Backup - At least for M365, ideally servers too
  • Regular reviews - Quarterly at minimum
If any of these are "extra," question the base price.

Watch Out For

Low headline price, everything's extra: £25/user! But backup is extra. Security is extra. After-hours is extra. Actual cost: double.

Long contracts: 3-year lock-ins benefit the provider, not you. Look for monthly or annual terms.

Hidden minimums: "£40/user" but minimum 50 users. Or minimum monthly spend regardless of user count.

Offshore support: Nothing wrong with it if disclosed, but know what you're getting. UK-based support typically costs more.

No security included: "We do IT support, security is separate." In 2024, this is negligent. Security should be built in.

Our managed services include security as standard—not bolted on. For regulated industries, we include compliance evidence and reporting because our clients need it.

We don't do minimum terms beyond monthly. We'd rather keep clients because the service is good, not because they're locked in.

The Real Question

Don't just ask "how much?" Ask:

  • What's actually included?
  • What happens when something goes wrong at 6pm on Friday?
  • Who's responsible if we get breached?
  • What evidence will I have when a customer asks about our security?
  • What's extra?
The cheapest provider is rarely the best value.
